Terms of Service

1. About these terms

These Terms of Service govern access to and use of iKambi Health, a cloud-based practice management platform for South African private healthcare practices. References to “iKambi Health”, “we”, “us” or “our” mean the iKambi Health service operator. References to “you” mean the practice, platform user, or person accessing the service.

By accepting an invitation, creating a password, signing in, or using iKambi Health, you agree to these terms, the Privacy Policy, and the POPIA Operator Terms.

2. Who may use iKambi Health

iKambi Health is intended for legitimate South African private healthcare practices and their authorised owners, doctors, receptionists, and administrators. You must use your own account, keep credentials confidential, and notify us promptly if you suspect unauthorised access.

Practice owners are responsible for deciding who may access their practice workspace and for ensuring their staff use iKambi Health lawfully, ethically, and consistently with patient consent and professional obligations.

3. Healthcare and professional responsibility

iKambi Health helps practices administer patient records, appointments, consultations, invoices, payments, reporting, and medical-aid workflows. iKambi Health is not a healthcare provider, medical scheme, medical-aid administrator, emergency service, legal adviser, accounting adviser, or clinical decision-making system.

Healthcare professionals remain responsible for clinical decisions, patient communication, coding, billing accuracy, medical-aid submissions, record keeping, and compliance with HPCSA, POPIA, medical scheme, tax, and other applicable obligations.

4. Patient and practice data

The practice remains responsible for the patient and practice information it enters into iKambi Health. You must have a lawful basis to collect, upload, store, use, and disclose personal information and health information in iKambi Health.

You must not upload information that you are not authorised to process. You must keep patient notices, consents, medical scheme mandates, and internal practice policies appropriate for your use of the platform.

5. Security

We use reasonable technical and organisational safeguards for a cloud practice management service, including role-based access, practice scoping, audit logging, encryption for sensitive fields where configured, and controlled production operations. No online service can guarantee absolute security.

You are responsible for accurate user roles, prompt removal of staff who leave the practice, strong passwords, secure devices, and appropriate internal confidentiality controls.

6. Subscriptions, invoices, and payments

iKambi Health subscription fees are billed according to the selected plan. Medical-aid claim allowances and overage fees are billed according to the pricing displayed in the platform or agreed with the practice. Unless stated otherwise, invoices are issued monthly and may include usage from the previous completed billing period.

EFT and supported online payment methods may be offered. Access may be limited, suspended, or cancelled if a subscription remains unpaid after applicable trial and grace periods.

7. Acceptable use

You must not use iKambi Health to:

  • access or attempt to access another practice’s data without authorisation;
  • interfere with platform security, availability, or integrity;
  • upload malware or unlawful content;
  • misrepresent claims, invoices, patient records, or professional credentials; or
  • use the platform in a way that breaches POPIA, HPCSA rules, medical scheme rules, or applicable law.

8. Availability and changes

We aim to provide a reliable service but do not guarantee uninterrupted availability. We may perform maintenance, improve features, change integrations, or discontinue features where needed. We will try to avoid unnecessary disruption to active practices.

9. Limits of liability

To the extent permitted by law, iKambi Health is provided without warranties of uninterrupted operation, error-free performance, or suitability for every practice workflow. We are not liable for clinical decisions, incorrect data entered by users, unauthorised account use caused by poor credential control, medical-aid rejections, or third-party service failures outside our reasonable control.
